ICP Smart Services is the UAE’s federal platform for visas, entry permits, Emirates ID and residency, and if you have ever tried to check a UAE visa online, you have probably wondered whether you needed ICP Smart Services, ICA Smart Services or GDRFA Dubai. The names overlap, the old brand still ranks in search, and the single rule that matters, which portal handles your file, is rarely explained clearly.

ICP Smart Services vs GDRFA Dubai: the one rule that removes 90% of the confusion

Before you open any portal, answer a single question: which emirate is processing this immigration file?

The UAE Government’s own portal states this split directly: for the six emirates you track visa applications and validity on the ICP website, while Dubai visas are tracked through the General Directorate of Residency and Foreigners Affairs, Dubai.

The trap that catches most people: a Dubai resident searching for their visa on ICP Smart Services, finding nothing, and assuming something is broken. Nothing is broken. Their file simply lives on GDRFA. But that same Dubai resident still uses ICP for their Emirates ID, because Emirates ID is a federal service run for the whole country. So “Dubai people don’t use ICP” is just as wrong as treating the two portals as interchangeable.

What is ICP, and is ICP Smart Services the same as ICA?

ICP is the Federal Authority for Identity, Citizenship, Customs and Port Security. It is the federal body responsible for identity, nationality, passports, entry permits, residence permits and the Emirates ID system, alongside customs and port-security duties, across all seven emirates.

Here is why you still see two names online:

• Up to 2017, the body was the Emirates Identity Authority.
• In 2017 it became the Federal Authority for Identity and Citizenship, widely shortened to ICA.
• In 2021 it was restructured into the current Federal Authority for Identity, Citizenship, Customs and Port Security (ICP), adding customs and port-security responsibilities.

So “ICA Smart Services” is simply the old name for what is now ICP Smart Services. The searches still work, but the live authority, and the correct place to rely on for current rules, is ICP. If a guide still describes ICA as the operating authority, it is out of date.

What ICP Smart Services actually covers

ICP Smart Services is the authority’s digital platform, available on the official ICP Smart Services website and through the UAEICP smart app, which most service pages call the ICP Smart App. Both run on UAE PASS, the national digital identity used to log in to UAE government platforms.

The exact options you see depend on your nationality, sponsor, emirate and transaction type, so the service card for your specific request is always the final word on documents and fees.

Do you need an ICP Smart Services account?

You do not need to create a separate username-and-password account to use ICP Smart Services. Modern services authenticate through UAE PASS, so if you have UAE PASS verified, you already have access.

There is a useful exception. Some public enquiry tools, such as checking an Emirates ID application status, work without any login at all. So the accurate approach is: open the exact service you need, look at the “Access Control” line on the service page, and it will tell you whether UAE PASS is required. Ignore old tutorials that walk you through registering an email-and-password account, that flow has largely been replaced by UAE PASS.

How to check your UAE visa status on ICP Smart Services

If your file is in Abu Dhabi, Sharjah, Ajman, Umm Al Quwain, Ras Al Khaimah or Fujairah:

1. Go to the ICP Smart Services website.
2. Open the public “Passport Information” or visa enquiry service.
3. Select “Visa” as the type.
4. Enter your passport number, passport expiry date and nationality (or your entry-permit or file number, depending on the service).
5. Submit, and the system returns your application or validity status.

If your file is in Dubai:

1. Go to gdrfad.gov.ae
2. Open the “Visa Status” card on the homepage.
3. Enter your residence file number or passport details, exactly as printed on your documents.
4. Submit to see issuance and expiry details.

Enter names and numbers exactly as they appear on your passport. A mismatch of even one character is the most common reason a status search returns “no record found”, and it almost always means a typo or the wrong portal, not a real problem with your visa. How to check Emirates ID status on ICP Smart Services

Emirates ID is always ICP, in every emirate. Use the ID Card Status service, which asks for one of three references, shown as PRAN / IDN / Request Number:

• For a new Emirates ID application, use the PRAN (the Application Number on your receipt).
• For an eligible renewal or replacement, you can use your Emirates ID number (IDN).

Enter the reference, submit, and the current stage is displayed. If the enquiry will not load, ICP’s call centre is 600 522222 inside the UAE and +971 600 522222 from abroad.

Emirates ID renewal in 2026: what changed

This is the part of most older articles that is now simply wrong, so it is worth stating precisely.

Effective 14 July 2026, ICP extended the early-renewal window for UAE nationals from six months to a full one year before expiry. Where a citizen’s passport and Emirates ID expire around the same time, both can now be renewed in a single integrated transaction.

For expatriate residents, the position is unchanged: you can apply to renew your Emirates ID when less than six months remain before expiry.

One detail that matters for anyone outside Dubai: the Identity Card Renewal service is submitted together with the residence renewal, using the unified residence and identity form, in all emirates except Dubai. In Dubai, the residency side is handled by GDRFA, which is exactly why Dubai procedures have to be treated separately from the federal ICP flow.

And renewal is not always fully online. Anyone who has completed 15 years of age may need to complete fingerprint and signature (biometric) steps at an ICP service centre. The service card flags when that in-person step applies.

Entry permit vs visa vs residence permit

These three get used as if they mean the same thing. In ICP’s own catalogue they do not, and mixing them up leads to the wrong transaction.

Entry permit (issuance of a visa): a permit to enter or remain for a defined purpose and period, for example tourism, a visit, treatment, or to begin the procedures for work or family residency. Think of it as the document that gets you in or moves you to the next stage.

Residence permit (issuing residency permit): a new residence permit, issued linked to an Emirates ID application. This is the status that lets you actually live in the UAE, and it is a separate transaction from the entry permit. ICP provides its own services to renew, amend and cancel residence permits.

The practical takeaway: cancelling an entry permit is not the same as cancelling a residence permit, and issuing one is not issuing the other. Pick the service that matches the exact step you are on.

ICP Smart Services for business owners: the establishment card

Company formation and immigration are two different files, and the piece that connects them is the electronic establishment card. This is your company’s immigration record. It carries the trade name, licence number, partners and business activity, and it is what lets your company sponsor investor and employee visas. A trade licence alone does not do that.

ICP Smart Services lets you issue, renew, amend and cancel the establishment card, but the submission route is not the same for everyone, and this is where owners lose time:

• Initial approval and issuance of an establishment card must go through authorised service providers, not a do-it-yourself portal submission.
• If your company sits under a Free Zone Authority, the request goes through that Free Zone Authority, not the public ICP portal.

So seeing “issue establishment card” on the platform does not mean every company files it the same way. After corporate changes, such as a new trade name, a change of ownership, or adding and removing partners, you also update the establishment card so your immigration record matches your licence. Golden Residency (the UAE “Golden Visa”)

The official programme is called Golden Residency. “Golden Visa” is the everyday and search term, and both refer to the same thing: long-term UAE residency of five or ten years depending on your category.

Categories include investors, entrepreneurs, humanitarian pioneers and frontline heroes, outstanding students, and people with exceptional talent or specialised expertise. The eligibility rules differ sharply between them, a property investor, a public-investment investor, an executive director and an entrepreneur do not share one checklist.

ICP also runs a Golden Residency Nomination Application, a pre-approval service for distinguished categories, accessed through ICP Smart Services or the app with UAE PASS. It is not the single final application every Golden Visa applicant uses. For a Dubai-based application, GDRFA Dubai may be the relevant authority depending on the category and route.

Owning a UAE company does not automatically qualify you. Holding an ordinary trade licence is not the same as meeting the public-investment, entrepreneur, executive-director or specialist requirements. Why ICP Smart Services applications stall (from the desk of a setup firm)

The requirements vary by service, but after twenty years of filing these, the same handful of issues cause most delays:

• Wrong authority. A Dubai file searched on ICP, or a Sharjah file searched on GDRFA. Confirm the issuing emirate first.
• Data that does not match the passport. Name spelling, passport number, nationality or date of birth that differs from the official document. Match the passport exactly.
• Passport validity. Many services need a set period of remaining validity. Check it before you start.
• Skipped medical or biometrics. For many residency files, the medical fitness test and Emirates ID biometrics are physical steps that cannot be completed online.
• Ignoring a “return for modification”. ICP often returns an application for a correction rather than rejecting it. If you do not fix it within the stated period, the application can be cancelled. Correct the existing application, do not start a fresh one blindly.
• Filing a company transaction through the wrong channel. Establishment-card issuance and free-zone requests go through authorised providers or the Free Zone Authority.

A “returned for modification” status is not a rejection. Read exactly what is being asked, fix that item, and resubmit within the deadline.

Fees and processing time: how to read them

There is no single “ICP fee” and no single “ICP processing time”, and any article that quotes one flat number for either is guessing. Fees are set per service, with application, issuance and smart-service charges listed on each service card. Processing is shown as a Service Completion Duration on the individual card. As a rough current guide, several visa, residency and establishment-card services show a completion duration of about 2 days, while a new Emirates ID currently shows around 5 days.

Read those as the government’s target for that one step, not as your whole journey. A full residency file is a sequence, entry permit, status change or medical, Emirates ID biometrics, then residence stamping, and the total time depends on how cleanly each stage clears. Always confirm the live fee on the exact service page before you pay.

• For company or free-zone transactions, confirm the correct submission channel.
• Save your application or request number after submitting.
